Technology Use at UNH Policies and Procedures

The University has extended the technology infrastructure to the desktop of faculty, staff and students. This privilege comes with certain rights and responsibilities that every member of the academic community should recognize and comply with. The following are IT policies and procedures adopted by UNH:

Mass E-mail Policy

To balance the needs of the University to take advantage of e-mail as an important communications channel for reaching the UNH/UNH Manchester community, while at the same time recognizing that community's own need to be free as much as possible from superfluous and irrelevant e-mail messages, the following UNH Manchester mass e-mail policies have been established:

In addition, UNH has a policy that the ‘UNH’ E-mail address is the official means of electronic communication with UNH/UNH Manchester. Billing, Registration, notices, reminders, schedules, etc., will all be communicated to student’s UNH e-mail account.

  • All e-mails to over 250 Students require approval of the Director of Academic Student Services (or the Associate Dean in their absence) and must be sent by Administrative Computing. If neither is available, the request should be made to the UNH Manchester Dean or appropriate VP.
  • E-mails from UNH Manchester must have a valid UNH domain address as a return address and must be actively monitored for any replies generated in response to a posting. In most cases an attempt will be made to send from a department alias unless a request has been made not to.
  • All e-mails must clearly state (in the body of the message) who is sending the message and who, within the UNH/UNH Manchester administration approved the sending.
  • E-mails will have ‘UNHM’ or ‘UNH Manchester’ within the subject. In most cases we will try to start the subject with those terms.
  • Messages will be sent to the smallest number of students as possible based on relevancy and message content.
  • UNH Manchester will not send e-mails to students who do not have a valid ‘UNH’ e-mail address.
  • Administrative Computing will require a lead time of 3 University business days. Messages requested with a lead time less than 3 days will not be guaranteed timely sending. In the case that we are given less than 3 days and the event takes place within those 3 days, we will not send the message if the event is taking place or has passed.
  • All messages will be sent as ‘text only’. Please contact Administrative Computing if you have concerns or want an example of how your message will appear in ‘text only’ form. In addition, we cannot send attachments.

UNH Manchester Administrative Computing has a special mass e-mail request form to make meeting these requirements as easy and efficient as possible for both the department making the request, the approval authority, and Administrative Computing.

Please note that these policies and restrictions are not aimed at true ‘opt-in’ special interest lists (such as a listservs), but rather cover E-mails where the students are members of the UNH/UNH Manchester community who have not explicitly requested to be e-mailed. UNH, the UNH Manchester Administration, or UNH Manchester Administrative Computing reserves the right to revise or amend this policy as necessary.

Mobile Cart Reservation Policy

To ensure the most fair and efficient process to making this lab available, the following guidelines are followed:

  • Only UNHM faculty and staff may reserve the cart facilities.
  • Reservations must be made at least one week in advance.
  • You may reserve the cart on the Academic Computing web site or at the Computer Lab Office in Room 114.
  • NO phone reservations will be accepted.
  • Prior to first time usage, you must schedule a brief orientation in the usage and cart policies with the Lab Manager, no exceptions.
  • The Cart will be delivered to your class 5 minutes before the class starts and picked up 15 minutes before the class ends. Adjust your computing activities to allow for the setup and shut down times. All laptops must be in the cart 15 minutes prior to end of class to assure the routine check that occurs prior to your class dismissal.
  • Any student who leaves the class early must return the laptop.
  • The responsibility for the cart and its contents are signed over to the classroom supervisor (faculty or staff) when it is delivered to the class.
  • A block of 3 - 5 laptops may be reserved for a class, meeting or training uses. These will be delivered on a separate cart and not have local printer access.
  • Software can only be added to the laptops during semester break periods. Please give 3 weeks notice if you need specific software on these systems.
  • Students may not reserve the laptops for group or individual work unless under direct faculty or staff supervision. Reservation must be made by the supervisor.
  • Reservations will be confirmed on a first come, first served basis. The Academic Computing staff reserves the right to prioritize requests based on lab & staff availability and requested use respective to the mission of the college.

UNH Manchester Administrative Computing - UNHM.talk Policy

 

UNHM.Talk Policy 11/7/05

unhm.talk@lists.unh.edu is a special interest mailing list. The purpose of UNHM.Talk and the reason for its creation is to communicate messages of relevancy to all UNH Manchester faculty and staff including adjunct faculty and staff who are not 100% time.

  • Although attachments are currently allowed, please take note of file sizes when you attach a file. In many cases, it is easier to have the file put up on the web and then reference the webpage in a message to UNHM.Talk rather than sending the file to each and every individual email account. In general, attachments over 1MB should not be sent through UNHM.Talk. If you have any questions or concerns about file sizes please contact anyone in Administrative Computing.
  • UNHM.Talk was created to communicate messages that are important for doing business to most or all of UNH Manchester’s faculty and staff. For this reason, please do not send messages for personal solicitation or messages not relevant to most on the list, for example messages of a political nature. In general, before you send a message please consider whether large numbers of faculty and staff feel this message is offensive or unnecessary to them.
  • Any faculty or staff member whose e-mail quota has been filled will receive a phone message stating this fact. If the individual does not reduce their quota size within 1 week their UNHM.talk e-mail will be suspended. The responsibility of starting the reactivation process of an account on UNHM.Talk lies with the individual whose quota has been exceeded. This individual must either reactivate their account on their own, call Administrative Computing, or email Administrative Computing at unhm.admin.computing@unh.edu requesting to be added back.

In summary, please be considerate when sending e-mail through UNHM.Talk. Consider whether your message is better suited to a certain group and if so, send to that group rather than the entire UNH Manchester community. Individuals who disregard this policy will be notified and repeated offenses will result in the inability to send messages to the list.

The List owners take note of complaints regarding UNHM.Talk and reserve the right to update this policy as needed.

This policy has been approved by the Technology Advisory Committee.
